Halton Physio & Rehab · Custom tool

From 'it hurts here' to booked and followed up

Follow one new patient end to end: tap where it hurts, a safety screen, the insurance check, the right practitioner, a booking and a prefilled intake, then see it land on the front desk's schedule and the follow-ups that run after the visit.

Why they asked for it

“People book a massage when they need a physio assessment, or the other way round. Then we reschedule, and the insurance forms are wrong. I want them to land in the right appointment the first time.”

Why it's custom, not cookie-cutter

  • Uses the clinic's real service list and fees: initial assessment, sports rehab, RMT, prenatal massage and the acupuncture add-on.
  • Routes to the person on the team who fits: post-op knees to the clinic director, sports injuries to the sports rehab lead, prenatal to the RMT.
  • Car accident patients get the auto insurance paperwork note, because those claims need extra forms on day one.
  • Red-flag symptoms stop the booking and send people to emergency care. It never pretends to diagnose.

How we built it

  1. 1. Shadowed the front deskWe listed the questions reception asks every new caller and the mistakes that cause rebookings.
  2. 2. Wrote the routing rulesEach answer maps to a service and practitioner, checked and approved by the clinic director.
  3. 3. Plugged into bookingThe suggestion pre-fills the clinic's online booking, so patients just pick a time.

This is a concept demo. Halton Physio & Rehab is a fictional business, and every price, rule and number in this tool is illustrative only. We built it to show the kind of tool we make for real local businesses.
